Core responsibility

The Receptionist / Administrator is responsible for daily guest service on site, room readiness, coordination between staff, receiving payments, transfers, resolving day-to-day operational issues and timely reporting to management.

The main goal is to ensure smooth operation of the property and a comfortable stay for guests.

Housekeeping reports when cleaning is finished, but this is not enough to finally confirm readiness.

The Receptionist / Administrator must personally verify the room is ready before the guest arrives using the established checklist.

If a problem is found:

The room is considered fully ready only after the check is completed.

Core principle of responsibility

The Receptionist / Administrator is responsible for more than just passing on information about a problem.

Working principle:

Check → find the problem → assign / notify the responsible person → follow up → re-check → close

Example: if the AC does not work, it is not enough to inform maintenance. You must:

  1. Report the fault — write to the WhatsApp group “Maintenance Ahiva” and attach a photo.
  2. Clarify when it will be fixed.
  3. Verify the result.
  4. If the problem is not solved — escalate again.
  5. Do not check a guest into a room with a known fault without management approval.

Main rule before every arrival

The main task of the Receptionist / Administrator:

The guest must never be the first person to discover a problem in the room.

Before the guest arrives, make sure that:
